Administrative Assistant:
Reports To: Communications & Outreach Director and LIH&W Board

Status: Part-time, Independent Contractor
Position Summary
Lummi Island Health & Wellness (LIH&W) is seeking a detail-oriented, reliable, and organized Administrative Assistant to support our Communications & Outreach Director and Board of Directors. This position will play a key role in ensuring smooth day-to-day operations by providing administrative, clerical, and customer service support for board priorities in particular health and wellness classes. The Administrative Assistant will help maintain efficient office systems, support communications and outreach activities, and serve as a welcoming first point of contact for community members.
Key Responsibilities
Administrative & Office Support
- Manage calendars, scheduling meetings, and coordinating logistics for the Board and Communications & Outreach Director (COD).
- Maintain organized filing systems (digital and physical) for program records, communications, and Board documents.
- Support grant tracking, data entry, and reporting tasks as directed.
- Assist class instructors with administrative follow-up and instructional needs
- Monitor and manage office supplies and basic resource center needs.
Reception & Customer Service
-Assist COD in serving as a point of contact for inquiries (in-person, phone, and email).
- Provide friendly, professional reception for island residents, partners, volunteers, and service providers
- Direct inquiries to the appropriate staff or Board members.
Communications & Outreach Support
- Provide clerical and administrative support for community outreach events, workshops, and wellness programs.
- Maintain and update contact lists for residents, partners, volunteers, and donors.
- Track attendance, feedback, and participation data from events and programs.
Board and Director Support
- Assist the Board with meeting coordination, and calendar management
Health and Wellness Classes
-Assist wellness class instructors with their instructional needs as requested
Qualifications & Skills
Required
- Proven administrative experience (nonprofit or small office setting preferred).
- Strong attention to detail and accuracy.
- Excellent written and verbal communication skills.
- Proficiency with Microsoft Office, Google Workspace, and basic database/data entry tools.
- Ability to manage multiple priorities, work independently, and meet deadlines.
- Friendly, approachable, and professional in working with community members of all ages.
Preferred
- Experience with scheduling platforms, social media and/or e-mail marketing, and data report tracking tools
- Resident of Lummi Island
Compensation & Hours
- Part-time, estimated 14 hours per week with flexibility based on organizational needs.
- Independent Contractor role; no employee benefits provided.
- $25 Hourly compensation
